AIRLINE TICKETS

You and your guest will be ticketed roundtrip from your home city to the Florence Airport, Peretola (FLR) in upgradeable coach airfare.  Please do not purchase tickets on your own as they will be managed directly through the Nations Roof designated travel provider, Gant Travel. This will allow us to manage your arrival and departure ground transportation smoothly.

 

Your travel will be booked to arrive in Florence on April 14th (departing the U.S. on April 13th). Your return flight from Florence may depart at any time on April 19th as there are no scheduled activities. Please note that the drive time to and from the airport is approximately 15 minutes.

 

STEPS TO COMPLETE YOUR AIR TRAVEL

  • Do not book travel directly. Simply complete the flight requests on the registration page of this website for both you and your guest.

  • Make sure to have both you and your guest’s passport handy as you are required to enter the details and upload a photocopy of both passports at the time of registration.

  • Within 2-3 business days, you will receive a proposed itinerary for you and your guest based on your registration information from SpecialEvents@ganttravel.com.

  • Respond to the email with your approval or requested modifications. Please double check the following for accuracy for yourself and your guest: 1) your correct name as shown on your passport 2) travel dates and 3) city of departure.

  • Once you approve your travel to the Gant Travel agent, you will receive your final electronic ticket confirmation itinerary that will include your airline record locator number from SpecialEvents@ganttravel.com.

 

IMPORTANT INFORMATION

  • We will work to accommodate your preferred airline, but sometimes the most cost-effective rates could be on alternate carriers.

  • In the event you would like to upgrade your class of ticket, you may do so at your own expense.

  • Should you choose to upgrade, you must complete the travel steps above first. Once you receive your final itinerary from Gant Travel, you may contact the airline directly and utilize your personal points or credit card to secure the preferred upgraded seats.

  • Please note, we will work to secure pre-assigned seats in advance for all passengers during the ticketing process. In the event we are unable to secure seats, please contact NationsRoof@etherio.com so that we may purchase available seats in your approved cabin prior to your departure date.

  • Baggage allowance will be included when available with purchased fare at time of ticketing.  Submit baggage receipts to: NationsRoof@etherio.com. You are responsible for personal deviations and baggage fees.

  • Reminder, your valid passport’s expiration date has a minimum period of six (6) months from the date of arrival to Italy.

Occasionally, airlines make unannounced schedule or equipment changes, so we recommend you download the airline app for the most up-to-date schedule prior to travel.  You can view your itinerary and seat assignments via the airline app or online 24/7.  

 

PRE OR POST TRAVEL

Currently, a limited number of rooms before and after our program dates. If you would like to extend your stay, please select your preferred hotel dates on the hotel section of the registration website. We also have trusted travel suppliers in Italy who can provide concierge services for hire if you need support in tailoring your Italian getaway. Please note, your pre or post travel plans must be finalized before we can book your international air travel. Due to high season in Italy, we encourage you to confirm the international travel portion of your trip as early as possible to ensure preferred rates and seats. If you request support or deviation from the program, please outline the details on the special request section of the hotel and flight registration pages.

 

Please note, if you choose to extend your trip before or after the program dates, you will be responsible for any cost associated with the deviation. Nations Roof will ONLY be responsible for securing your international flight to Florence along with hotel arrangements at The Westin Excelsior Hotel during the program dates.

AIRPORT ARRIVAL

Upon arrival to the Florence airport and after clearing baggage claim, you will be met by a Nations Roof transportation staff representative who will assist you and escort you to awaiting transportation. The drive-time to the resort is approximately 15 minutes.

 

​AIRPORT DEPARTURE

Hotel checkout time is 11:00 AM. Transportation from the resort to the Florence airport will be provided and a detailed departure notice will be delivered prior to the departure date that will give you information on your pickup time and the departure process. Estimate to arrive to the Florence airport 2.5 hours prior to your scheduled departure time.
